Exchange Online also includes strong security features such as anti-spam, anti-phishing, and anti-malware protection, which filter out most unwanted emails even with the default settings.

SharePoint and OneDrive

More and more companies are moving their shared files to the Cloud, using SharePoint Online and OneDrive for Business. With Microsoft 365, you have access to cloud storage for company documents. These documents can be accessed from anywhere – all you need is to log in with your Microsoft business account.

You can access data stored in SharePoint via a web browser, a mobile app, or through a synchronization client installed on your workstation that keeps all documents up to date. The only requirement is an internet connection.

One of the main advantages of SharePoint Online is the ability for multiple people to collaborate on the same document at the same time. SharePoint Online offers a storage capacity of 25 TB.

Microsoft 365 also includes OneDrive for Business. So what is the main difference between SharePoint and OneDrive?OneDrive should be used primarily for personal company documents that you don’t want to share with others (contracts, personal mileage logs, payroll statements, etc.). Each user has their own OneDrive, and other users cannot access it unless the file is explicitly shared. The storage capacity per user is 1 TB.
SharePoint, on the other hand, is the place for storing shared company files accessible to teams.

Data Recovery

Microsoft 365 allows quick recovery of recently deleted data. Deleted data can be restored within 30 days. However, it’s important to note that Microsoft does not perform backups of your data, nor is it responsible for protecting or retaining user data – which can have serious consequences. Important documents from SharePoint or email mailboxes should therefore be backed up using third-party tools. In this case, we recommend Veeam.

How to choose the right Microsoft 365 plan?

Microsoft 365 is available in several different editions.Do you want to use the product for business? If yes, you should choose Microsoft 365 Business Standard. If not, you can select the cheapest version for individuals or families.Do you need desktop Office applications, or is the web version enough?If the web version is sufficient, you can choose Microsoft 365 Business Basic.All other Business plans include desktop Office applications.

How many licenses will you need?

If your company has fewer than 300 users actively using Microsoft 365, the Business series will be sufficient. If your company has more than 300 users, you should go with the Enterprise series.

Microsoft 365 Business

All Microsoft 365 Business versions allow you to use Microsoft Teams and have your own hosted mail server in Microsoft’s cloud. Every plan includes a minimum mailbox size of 50 GB.

Microsoft 365 Business Basic

The cheapest version of Microsoft 365. It offers web and mobile apps and services such as Exchange Online but does not include desktop versions of popular apps like Word, Excel, PowerPoint, and Outlook. This plan is suitable for very small businesses that don’t have the resources to invest in their own mail server.

Microsoft 365 Apps for Business

Includes web and desktop Microsoft applications for PC, such as Word, Excel, PowerPoint, Outlook, and Teams. However, it does not include an Exchange Online license, making it primarily a replacement for the traditional boxed Office suite. Best suited for small businesses that only need core desktop applications.

Microsoft 365 Business Standard

This plan provides a wide range of desktop and web applications and services offered by Microsoft. If you need full desktop versions of Office apps, this is the right choice.

Microsoft 365 Business Premium

The most advanced Business plan. It includes all applications and features of Business Standard but adds protection against dangerous attachments, suspicious links, and other malware. It also offers enhanced remote management of PCs and mobile devices, effectively serving as an antivirus and advanced security solution.

Microsoft 365 Enterprise

Microsoft F3

Includes only web Office apps. Exchange Online is included, but the mailbox size is limited to 2 GB. Teams includes extra tools like Walkie Talkie and Task Management. OneDrive storage is limited to 2 GB per user.

Microsoft E3

Combines premium Office applications with core security and compliance features. With E3, you can proactively protect employees, company data, and customer information using intelligent security solutions.

Microsoft E5

The most comprehensive Microsoft 365 plan. E5 combines premium Office applications with advanced security, compliance, analytics, and voice services.
